What this policy covers
This policy explains how we collect, use, share and protect personal information when you visit this website, contact us, book a Kinetic demo, sign up for our emails or message us on WhatsApp. It also explains your rights and how to use them.
When we run campaigns, websites or Kinetic for a client, we sometimes handle personal information about that client's own customers. In that case we act as an operator on our client's behalf and only process that information on their instructions. Their privacy policy applies to that information, and you should contact them first with any request about it.
What we collect, and why
When you send us a message through our contact form
We collect your name, email address, phone or WhatsApp number, and the message you write. You can also choose to give us your company name, website, the services you're interested in and your monthly ad budget.
We use this to reply to you, understand what you need, decide whether we're the right fit and, if you ask, prepare a proposal. The fields marked as required are needed for us to reply. The rest are optional. If you'd rather not share something, leave it blank or WhatsApp us instead.
When you sign up for our emails
We collect your first name and email address so we can send you new articles and occasional updates. We only do this with your consent, which you give by ticking the consent box when you sign up. Signing up is entirely voluntary.
When you book a Kinetic demo
Demo bookings are made through our Kinetic booking page. We collect the details you enter there, usually your name, email address, phone number and booking time, so we can confirm the booking, send reminders and run the demo.
When you contact us on WhatsApp, by email or by phone
We receive your name or profile name, number or email address, and whatever you choose to send us. We use it to reply and to help you.
When you become a client
We collect the contact, billing and account details needed to deliver our services, invoice you and meet our legal and tax obligations.
When you browse this website
Our hosting provider's servers automatically record basic technical information, such as your IP address, browser type, the pages you visit and the time of your visit. This is used to keep the website secure and working properly.
The legal basis for using your information
Under section 11 of POPIA, we only process personal information when at least one of these applies:
- You've given us consent, for example when you sign up for our emails.
- It's needed to take steps you've asked for, such as answering your enquiry or preparing a proposal, or to carry out a contract with you.
- The law requires it, for example keeping financial records for tax purposes.
- It's in our legitimate interest, such as keeping the website secure, and that interest isn't outweighed by your rights.
Cookies
This website uses cookies that are needed for it to work, for example to submit forms securely. We also use Google Analytics to understand how people find and use the site, such as which pages are visited, roughly where visitors are, what device they use and whether they get in touch. Google Analytics uses cookies to do this, and the information is pseudonymous: it doesn't tell us who you are.
We also use the Meta Pixel, an advertising tool from Meta (Facebook and Instagram). It uses cookies to tell us when people who have seen our ads visit the site or get in touch, so we can measure whether our ads work and show our ads to people who have already visited. Meta may combine this with information it holds about you under its own privacy policy. You can block or delete cookies in your browser settings, opt out of Google Analytics with Google's browser add-on at tools.google.com/dlpage/gaoptout, and control the ads Meta shows you at facebook.com/adpreferences.
Who we share your information with
We don't sell your personal information. We only share it with service providers who help us run our business, and only as much as they need. They are:
- xneelo (Pty) Ltd, which hosts this website and stores form submissions on servers in South Africa.
- Microsoft, which provides our email (Microsoft 365).
- Google, which provides Google Analytics, our website statistics tool.
- The software provider behind Kinetic, our CRM and booking platform, which stores demo bookings and client records.
- Meta, which provides WhatsApp, when you choose to message us there, and the Meta Pixel advertising tool.
- Our accountants, auditors and legal advisers, where needed for our legal and financial obligations.
We may also share information when the law requires it, for example with SARS or in response to a court order.
Sending information outside South Africa
Some of our service providers, including Microsoft, Google, Meta and the provider behind Kinetic, may store or process information on servers outside South Africa, including in the United States and Europe.
Under section 72 of POPIA, we only do this where the recipient is bound by law, binding company rules or an agreement that gives your information a level of protection substantially similar to POPIA.
How we keep it safe
We take reasonable technical and organisational steps to protect your personal information against loss, misuse and unauthorised access. These include encrypting the connection to this website (HTTPS), only giving access to the people on our team who need it, and only using reputable service providers who are required to protect it.
If we have reason to believe your personal information has been accessed by someone who shouldn't have it, we'll notify you and the Information Regulator as POPIA requires.
How long we keep it
- Enquiries that don't turn into work: up to 12 months after our last contact, then deleted.
- Email sign-ups: until you unsubscribe.
- Client and financial records: for as long as the law requires, usually five years after the end of the tax year they relate to.
- Website server logs: for the period our hosting provider keeps them for security purposes.
After that, we delete or anonymise the information, unless the law requires us to keep it for longer.
Direct marketing
We only send marketing emails to people who have signed up and given consent, or to existing clients about services similar to the ones they already use. Every email we send will tell you how to stop receiving them.
You can unsubscribe at any time by replying to one of our emails or emailing us at info@disruptbusiness.co.za, and we'll remove you.
Your rights
Under POPIA, you have the right to:
- Ask whether we hold personal information about you, and request a copy of it.
- Ask us to correct or delete it if it's inaccurate, out of date, incomplete or no longer needed.
- Object to us processing it, including for direct marketing.
- Withdraw your consent at any time, where we rely on consent.
- Complain to the Information Regulator if you're unhappy with how we've handled your information.
To use any of these rights, email our Information Officer at info@disruptbusiness.co.za. We may need to confirm your identity first. We'll respond within a reasonable time, and we won't charge you for a request to correct, delete or stop using your information.
Requests for access to records are handled in line with the Promotion of Access to Information Act 2 of 2000 (PAIA). Our PAIA manual is available on request from the same email address.

We'd appreciate the chance to sort out any concern first, so please contact us. You also have the right to complain directly to the Information Regulator:

We also work with businesses in the United Kingdom. If you're in the UK or the European Union, you have similar rights under the UK GDPR or the EU GDPR, including the right to access, correct, delete or move your information and to object to how it's used. You can contact us to use these rights. In the UK, you can also complain to the Information Commissioner's Office at ico.org.uk.
Children
This website and our services are aimed at businesses. We don't knowingly collect personal information from anyone under 18. If you believe a child has sent us their details, let us know and we'll delete them.
Links to other websites
This website links to other sites, such as Google, WhatsApp and our Kinetic booking page. Those sites have their own privacy policies, and we're not responsible for how they handle your information.

We'll update this policy when the way we handle personal information changes. The date at the top shows when it was last updated. If we make a significant change, we'll make it clear on this page.
